Email

The most common reason for this is that our incoming spam filters require compliance with the email standard RFC5321. Many IT people neglect to set a Fully Qualified Domain Name (FQDN) when configuring their own email server. The FQDN must use the external IP address and they also forget to use this FQDN in the "HELO" string to correctly identify the mail server when it opens communications.

Often we see things like a server name of server.qpt.local which is a common out of the box structure for Windows servers. Whereas in the past most mail servers would accept these mis-configured servers emails modern anti spam practices make this unworkable.

It is easily fixed by your IT staff. They create a record for your domain in your DNS, for example if your domain was joeshoes.com.au a URL of mail.joesshows.com.au would be a suitable name. Point this record at the IP address of your server. Note this needs to be the IP address your server is seen by the outside world, if your server is behind a firewall then use its external address not internal address.

Then in your local mail administration configuration make it use that address as its HELO opening string. In Windows Exchange based servers this is generally part of the SMTP connector configuration. This will make your server far more trusted in the community of mail servers and improve your delivery times and reliability.

There are many reasons why email can be delayed. Some are related to the sending server and some to the receiving server, and some related to obscure Internet routing issues. The email standard is for a 5 day delivery time and a 4 hour notification of delay. Occasionally large amounts of email may be queued for delivery and cannot be delivered immediately. This can be due to high incoming spam email levels or how busy both the sending and receiving servers are.

Even though 90% of email is delivered within a few minutes, this time-frame is not guaranteed and will not happen all the time. Any email that is sent by you through our servers but can't be delivered immediately, is placed in a deferred mail queue and we automatically check to see if the delivery can be completed every few minutes/hours. This mechanism is intended to be respectful of other peoples mail servers and when they signal they are busy we need to allow them time to recover and not overload them continuously with request for delivery.
